June 2012 ERI Services Update
I have been relying on email, various meetings, and f2f sessions for communication rather than the ERI News blog. Much has happened since my last update in December and I won't try to catch-up on those months in this June Update; however, I will sprinkle in a bit of "history" through this post.
Organization and Personnel
1.Gama Viesca, IDS Specialist, was hired at the beginning of March. Gama is our Ask Us Desk weekend supervisor and, as Reserves work lead, will contribute to envisioning the future of Course Reserves including how it will be integrated into the processes of the Library and student learning and how we will communicate more effectively with faculty and students.Gama has a masters in Library and Information Science from Simmons and a bachelors in Music from Berklee College of Music in Boston plus has circulation and customer service experience.
2.Doug Flint is now Shelving work lead. He has worked with several people, including Cindy M, Gama, and Kathy, to make some changes in the Shelving operation. Beginning immediately, the sorting operation has been relocated to the space behind the Ask Us Desk. So as materials are returned, they are checked in; RFIDed if needed; sorted on shelves; put on book trucks to be taken (mostly) to 2nd floor. Doug will work with Hannah and others later in the summer on a shifting project in the J-N area on 2nd floor that will allow about 2 ranges of formerly Ref Collection materials to go upstairs. Many thanks to Kathy for doing an admirable job in coordinating Shelving on an interim basis and as we determined how best to move forward with that operation.
3.Liz Cooper was hired at the beginning of April as the Research and Instruction Head. She comes to us most recently from Emory University. Our newly updated organization chart on the ERI intranet page describes her areas of responsibility including the staff reporting to her. Liz's immediate goals are many and include understanding the complexities of the Auraria Campus, meeting with her colleagues (both internally and externally), pouring over all the pertinent content on the library intranet, examining the research help and instruction programs, leading the Subject Teams, etc.
4.Judith Valdez is once again part of ERI Services. Hooray! As the Disability Services Librarian, she will continue to work with us to provide disability services, assists with instructional services/scheduling, reports directly to Liz, and is part of the Library's Academic Support Team (other members are Mary D, Karen, and Cindy H).
Renovations and Moving Operations/Services/Collections
Research Help desk:
Has been restored with 2 stations, signage, and a clock. We have made a couple of tweaks to the setup. Please share any comments about the current arrangement with Liz or Cindy H.
Group Study Rooms:
6 new group study rooms on 1st floor opened in mid-May. Reservations may be made online (including on the iPad mounted on the outside wall of the study rooms). Desktop computers are in the rooms and students may hook up laptops (either their own or ones they checkout from Ask Us).
Renovated and Expanded First Floor Restrooms:
Opened in April. Improvement in decible level of the new hand dryers. Generally, as in the past, problems with the restrooms can be reported directly to Becky.
Shelving/Sorting Area and Ask Us:
With a shrinking VHS collection, a little imagination, and lots of "can do" spirit, the Shelving/Sorting operation has moved to the area behind Ask Us. IDS personnel continue to tweak the layout of the Ask Us staffing area. Doug reports that we are already seeing the organizational benefit of this as workflow is improving and we will likely be in a better situation with what our student shelvers will be able to accomplish.
Maps:
The Map collection is moving into the former Shelving/Sorting area on June 6. Training for Ask Me personnel will follow as they will be helping patrons with that collection when the Ask Me desk is staffed. Hannah will be on hand for the move. Ian is looking into placing digital help (computer/screencast) in the immediate area. Library floorplans will be updated before the Fall semester.
Rm 118 Tweaks:
After moving into the space the first week of January, we identified a few changes needed in layout (desk placements, configurations, bookcase needs, filing cabinet and overhead bin arrangements), ordered whiteboards to pilot as "screens", installed dual monitors and keyboard trays upon request, etc.
Library Cafe:
The new cafe should be opened before the start of Fall 2012. AHEC is leading that RFP process and will likely soon be announcing the successful vendor. The cafe vendor will be building a counter in the area adjacent to the new Vending machines. Liz and Cindy H are working with a designer and looking at the purchase of some additional furniture for that area of the building.
South Courtyard:
A UCD Landscape Architectural summer class is working with several Library personnel, students, a construction professional (co-teaching the class), and AHEC to create a design for an enhanced South Courtyard, turning it into a usable/functional space thus increasing our student learning spaces. On June 7, the class will have a charrette with the group identified above. Since there is funding to do some of this renovation, the transformation may begin before the Fall semester starts.
Electrical and Microforms:
We are getting estimates for moving the electrical raceways in the Microform area so that they do not pose a trip hazard and so we can have a more flexible furniture arrangement there. Eventually, and as we downsize the Microform collection by moving more aggressively to digital archives (online versions), we will likely move the reduced Microform collection to the 2nd floor. Most likely, this move would be in the area that is opened up by a downsized physical Government Publications collection. Becky is in the process of getting quotes from the electrician and in confirming that the weight of the Microforms is not a problem on 2nd floor.
Government Publications:
On June 18th, Hannah, Ian, and Cindy H will work with Peggy Jobe (CU Boulder) to determine streamlined methods for deselecting print equivalents to the online versions of government publications. Some materials will remain in print, especially when those materials are tied directly to the curriculum (such as the CFR in print).
Summon Update
The Summon implementation task group, chaired by Lorrie, is working on getting feedback, improving the user experience, and determining how this discovery layer can enhance student learning and research. Soon, they will be working with various Library groups including the Subject Teams, IDS, and IT (in addition to student focus groups)to get input, so please be ready to lend a hand to the task group. Your feedback is important.

December 2011 Update
Personnel/Hiring Update
Ask Us Weekend Supervisor
After a few snafus, the LTIII Weekend Supervisor/Reserves work lead position has moved forward. The Search Committee has been named. This position has been rewritten and now includes Reserves work lead duties; so, instead of Millennium technology duties, there will be Reserves technology duties. Therefore, one of the search committee members will be from Library IT and that is Niraj who also worked in Reserves as a student. Supak is the other search committee member and Theresa Anderson (UCD HR) is the chair.
Research and Instruction, Head
The Search Committee (Marical, Ignacio, Ellen M, Mary D and Tom) has reviewed applications. The next step is to recommend candidates for in-person interviews. The hope is that we will be interviewing towards the end of January.
Government Publications
Losing Amy has been such a blow to us in so many ways. We have been going through the Gov Pub procedures, materials, and workflow in an effort to identify the status of her work. I know that many of you have expectations and questions about how to proceed. For now:
* Supplies will be ordered by Mary D. When we get into rm 118, we will review the supply storage and ordering process.
* Hannah Houck, who has been a student employee in the area for 4 years and who just graduated from UCD, will be hired as a full-time Temp employee to work in Gov Pubs and to continue maintaining the Reference Collection. Peggy Jobe at Norlin Library, CU Boulder has offered her services to answer questions about processing the collection and about the FDLP(Federal Depository Library Program)requirements. Hiring Hannah as a Temp will help bridge the gap until the Research and Instruction Head is hired and on board.
* I have requested additional graduate student hours to replace the Research Help virtual and f2f hours that Amy did. This has been approved and we will get 20 additional grad assistant hours to help with both Research Help (8-10 hrs) and GovPub processing (8-10 hrs). Ian Burke, currently a Research Help/Instruction grad assistant, will decrease his current responsibilities and take on duties in Gov Pubs.
* As I discussed with the Subject Teams when Louise left, the vast informational content that resides in the now mostly electronic Government Publications is subject and disciplinary in nature; therefore, individuals on Subject Teams should be familiar with that content. I have heard this GovPub scenario compared to other publishers; that is, the fact that Elsevier, Springer, Wiley/Blackwell, and other publishers create content in all subject areas for which we need to have a degree of knowledge and a certain comfort level. The GPO is another publisher creating content in all subject areas for which we need have a degree of knowledge and a certain comfort level.
* We will be investigating training opportunities for us to achieve that degree of knowledge and comfort level.
Library Remodel
In previous emails to ERI and on the wiki, I have outlined the move and time-line. The timeline is a bit of a moving target, but the moving company will likely move our offices and processing areas January 4th-5th. This is a change from the previous information and is noted on the wiki.
I have noticed that the instructions about how to fill out the labels are not always being followed. Look at my earlier email or the link under ERI Services Move Instructions and Timeline and especially the "Labels" information:
Labels: While you are picking up your boxes, pick up a few labels as well. You will use the labels to identify what needs to go where in your current office space. For information about how to fill out the label look on the intranet at http://intranet.auraria.edu/wiki/images/3/3c/MoveLabels.pdf
Until the completion of the construction walk-through and punchlist, we cannot occupy rm 118. This was supposed to happen on Dec 20th; however, the work is not completed and modular offices are still being assembled. Very soon, Niraj will set-up an "experimental" dual monitor station in one of the modular offices. This will allow us to try out dual monitors (on monitor arms).
Self-Check Stations will be moving to the side of the Ask Us Desk in the next couple of weeks. Signage adjustments will follow.
2011 Accomplishments
At the Nov 30 Open Forum, we shared Accomplishments achieved in 2011. And they are MANY! We started a wiki page to list these accomplishments and you may still add to that list at 2010 Accomplishments. Thanks to Ellen M for adding to that list. I invite you all to do the same.
Thanks for you work this year and for reminding us about those achievements by posting them on the wiki.
Summon
The Infrastructure task group completed their work and handed the torch to the Summon Public Interface working group. The Spitfires are Lorrie (chair), Joseph, Eric, Gayle, Christina, and Elaine.

During the week if you are having a problem with an e-resource, contact a member of the E-resources Troubleshooting Team, Elaine, Gayle or Denise, by creating a Help Desk ticket.
At night and on weekends, if we are having problems accessing ALL of our electronic resources, it is best to give Niraj a call.
If we are having problems with just 1 resource or 1 e-resource provider (e.g. Ebsco) and you are able to get to the provider’s webpage that includes their help desk information (hopefully, they are open nights and weekends), you may:
•contact the provider directly (webpage or phone)
•while you won’t have all the information that you may need such as account number, account name, renewal information, etc, but you are welcome to see if you can get any answers

Prospector Document Delivery Meeting
notes from Ev Jamerino of the Document Delivery Committee Quarterly Meeting
Highlights from 10/19/11
Salida will be joining Prospector / Marmot Libraries soon. Summit County joined catalog Aug 2. 75% of DPL records have been deleted out of Prospector.
Fulfillment stats have gone down a bit. Poudre Library materials will be unavailable Dec 1 – Jan 9. Closure for remodeling. New Prospector FAQ in wiki format coming.
New World Cat button that III added. Function in Encore version. Buy it added with sites like Amazon, Barnes with price listed. New Prospector mobile phone interface. Check mobile device button, goal to make automatic. Minimal information on the screen so patrons can see info easier using their cell phone. iPads have regular information shown. Try it!
Maximum Prospector requests at 1 time increased from 40 to 70. (Some faculty wanted 100)
Most libraries have volume so large that separating loans and returns is not possible with staff shortages and not enough room to put them anywhere. Most members still want libraries to send loans and returns separately if possible. Also mark slips with loan or return.
Pascal materials should be sent directly to Pascal and not UCD, UCB, DU, UCHS. With catalog problems sometimes the Pascal loc C194 is not on the return receipt. We all depend on the receipt loc to save time processing courier items.
Note:
Evelyn is retiring so Doug Flint will take her place at committee meetings. Both Doug and Supak can be contacted with Prospector issues. Doug should make sure to communicate highlights of meetings he attends and Doc Delivery Committee list serve announcements to library staff.
Library Renovation and Construction
Soon, ERI will have a move packet which will include labels that we will use to identify "stuff" in our current office spaces that we will either designate to be moved into our future office spaces or to remain behind (for recycling or taking to Surplus).
We will use the labels for our personal offices spaces and for the processing and shared spaces. For example, many of us will want to move our chair, a filing cabinet, and maybe a bookshelf into the new space; therefore, you will apply the "to be moved" label with your name/office number. The modular and hard-walled offices will have specific numbers assigned to them. The "stuff" in the processing and shared spaces in IDS and in the reference/gov pub areas will likewise need to be labeled.I want to get these labels in your hands as soon as possible so that we can begin thinking and labeling.
Other construction - Construction of a new CCD building in Lot L could start as early as December 2011.
Capital Campaign and Fundraising
As mentioned in Open Forum and ERI Services meetings, with the aid of the CU Foundation, the Library is embarking on a capital campaign. The funds resulting from these efforts will allow us to proceed with future phases of the Library renovation including technology-enriched group study rooms, improved restrooms, expanded cafe, enhanced learning spaces including event/multi-functional areas.
The financial goal of the campaign is $6M. The financial goal of being #1 on the AHEC master plan is another $22M. Several of us have contributed towards the campaign planning with the CU Foundation, Humphries Poli (architects), and Ricochet (a PR firm). This work is helping to characterize our work, services, resources as an integral part of the campus and using the metaphor of exploration to describe learning. If learning is exploration and we, according to our mission, are the heart of the learning experience, is there language or a metaphor that identifies "us" in this exploration?
We all send Ev our very best wishes as she retires from Auraria Library and enters into other pursuits.
Ev's Weekend Supervisor position will be filled. The position description (LTIII) has been sent to UCD HR and we expect to hear that it has been approved shortly. Until the position is hired and adequately trained, Ask Us personnel will be rotating weekend duty.

September 2011 Update
International Initiatives
Earlier this week, 2 librarians from Linneaus University in Sweden visited with many of us about potential Student Internships and Employee Exchanges. Next steps will include Mary Somerville working with the director of UCD’s Office of International Affairs on a memorandum of understanding. For more information about our 2 days of meetings, you may visit the International Initiatives section on the wiki.
Position Searches
*Head of Research and Instruction - this position has been approved. Marical will chair the yet-to-be selected search committee.
*Security Guard - AHEC Police continue to search for a replacement guard for the Library. Interviews will likely be the first of October and Marical will sit in on those interviews.
Renovation
I have been asked for information from a UCD Advocate reporter about our renovation. I am sharing the content of my initial email to him below. He may do a follow-up interview with me and notes that he expects the article to run in the Sept 21 Advocate. As always, if you are contacted for information by a reporter, you will want to send the reporter to Catherine Ostrander. In this specific case, I took the reporter’s inquiry.
Here is the email exchange with the reporter about the Library renovation, including some remarks that you might find informative:

Thank you!
I think that would be a great idea. We could run pieces periodically with updates and such, since I'm sure things are bound to come up and decisions might have to be made as to how to improve on the current designs and so forth

Since we are thinking of the renovations in phases [Daniel had asked about when the renovations will be finished], I don’t have that kind of timeline. However, this “first phase” is supposed to be completed sometime at the beginning of the Spring Semester. Does that help? The Library Director, Mary Somerville, has been collaborating over the last several months with personnel across the 4 institutions on the Auraria campus, including planners, administrators, students, and faculty, to determine how the Library facility can best meet the needs of the campus. The overall vision of this process is to create enhanced learning spaces for the students of this campus.
When Auraria Library was built 35 years ago, it was intended to serve a maximum of 15,000 students. Today, nearly 50,000 students, faculty, and staff from the University of Colorado Denver, Metropolitan State College of Denver, and the Community College of Denver, utilize the Library’s digital and physical resources, enabling them to “engage their minds and enrich their futures (that is our tagline).
Approximately 25,000 visitors enter the building weekly, and that does not count the thousands that visit our online Library. Building upon the Library building’s distinctive urban architecture, natural lighting, open concept, and sunny courtyards, we envision improved spaces for students to do collaborative/group study, use a myriad of print and online resources, seek research help from subject-specialist librarians, tap into improved wireless capacity, use technology-enriched group study rooms, reflect and read in quiet areas on the 2nd floor, and more.
Several months ago, we performed a student survey asking students what they would like to see in the Library. Two of the top votes were for additional seating and additional electrical capacity (for laptops and other mobile devices). For more information on the survey, I can put you in touch with Meg Brown-Sica who spear-headed that initiative.I am happy to say that we have addressed those top picks and added many new tables and chairs to the first floor of the building, plus, we added about 76 electrical outlet throughout 1st and 2nd floors.
As you might imagine…all of this requires considerable planning with a number of constituents and costs money including donor dollars, so we are approaching these renovations in phases. The current phase involves relocating some of the staff offices towards the back of the Library on the 1st floor. This move will allow us to open up spaces in the front of the Library for student learning spaces and activities. It will also improve the sight-lines and therefore the way-finding for students as they enter the building (the building can be a little confusing to navigate).
Soon a construction wall will be built in the back of the 1st floor of the building and that area will be renovated to house Library staff. When that project is completed, much of the staff office space that occupies the “front” of the 1st floor will be opened up. This “first step” will allow the future phases that will include group study rooms, renovated restroom facilities, improved food options, and more, to progress as we envision the Library that meets the needs of 21st Century students, faculty, and staff.
Oh my, I have gone on and on. You might be able to tell this is exciting stuff and I would love to chat with you. Shall we look for a time on Wednesday?
Thanks for taking an interest in the Library!

Fall 2011 - What's New
Third day into Fall 2011 and all is going well :-). Hooray!
Thanks to everyone for greeting our 6500+ daily Library users with a friendly smile and a helpful attitude. Of course, our work continues through the Summer, but there is no denying the distinct "buzz" of the Fall semester...the service desks, virtual reference (text, IM, email), reserves, research consultations, faculty collaborations, ILL, materials selection/analysis/management, instruction requests, Skyline patron database and circulation module updates, Prospector borrowing and lending, video bookings, etc are all going into high gear.
Our Getting Ready for Fall Punchlist served us well. We were able to spiff up the Library in a couple of areas. Carpet was cleaned or tiles replaced; furniture replaced and repositioned on both floors; I think at least some of the windows cleaned; Hannah and other Gov Pub/Ref Collection students tidied the courtyards and cleared out the ERIC microfiche collection; Ask Us refresher training completed; signage updated; maps created; orientations planned and executed; new Open Lab tutoring hours posted; Fall bookmarks designed and delivered, other marketing materials and handouts updated...
http://intranet.auraria.edu/wiki/index.php/Fall_2011_Punchlist
The What's New poster and flyers created by Amy and Mary D. with QR codes contributed by Gayle and photos from Jeffrey and others, point out some changes from last semester. For example, we remind folks (as we do on Library FYI) that the Library is undergoing the first phase of remodeling and ask that they "pardon our dust".
Joseph Sanchez, our instructional designer hired in July, has created a TEXTBOOK video. This video is available on Library FYI and is looping on a monitor next to Research Help. The video plus the Textbook resource guide created by Bill will help to effectively and creatively answer the most frequently asked question of the first 3 weeks of the semester:
"Does the Library have my textbook?"
Video link http://library.auraria.edu/does-the-library-have-textbooks
Guide link http://guides.auraria.edu/content.php?pid=59042&search_terms=textbook
If you see anything that needs my attention, don't hesitate to let me know.
P.S. Last year, I made an attempt to improve communication with and in ERI Services using our newsletter/blog. I am renewing that commitment. Therefore, you will see the information in this email on the blog where it will be retained if you need it for future reference. ERI News is on the wiki under our departmental name and at this link http://aurariaerinews.blogspot.com/
Many thanks to you all, Cindy H

ERI October Update
Moving Collections
As you have observed by now, PSI has completed the move of the Periodicals collection to the area formerly occupied by Government Publications (now on 2nd floor). The responsibility for the shelving of the Periodicals and microforms has reverted to Technical Services. Since Technical Services is responsible for placing the materials into these collections, for pulling for bindery, for pulling for microform replacements, for pulling for the electronic equivalents project, it makes sense for that group to be responsible for the shelving as well.
The move of the Periodicals opened up significant collaborative study space on the south side of the 1st floor. Also, a popular study space on the 1st floor was expanded when we were able to remove 2 ranges at the end of the new Periodicals space. That area outside of rm 118 and the Access Center has long been a favorite group study space. Many thanks to Jerry, Jim, Becky and others for relocating furniture into these areas.
Job well done to all the folks involved in the moving of collections and furniture over the last several weeks.
Shared Leadership Team
Last month, ERI was looking for a new rotation of members onto the Shared Leadership Team. For this year, our representatives will be Tom, Karen, and Judith.
Research Help Kiosk
A Research Help kiosk has been set up on one of the two PCs beside the Research Help Desk (the other PC will remain a Quick Look point for now). We created this beta version of a Research Help kiosk with 2 things in mind, when the Research Help desk is not staffed or when it is very busy, the kiosk will:
* provide an easy way for students to set up Research Help appointments; to get to IM/AskAcademic; to find additional Research Help contact information
* give a few quick answers to frequently asked questions without waiting in line
The webpage that this PC has as its homepage is http://library.auraria.edu/kiosk. Check it out and don’t be shy about giving us feedback or suggestions on the service. (Cindy, Karen, Brittany and Gayle)
ADI Update from Gayle
Thanks to the work of everyone on the subject teams the subject headings of the ADI are almost reconstituted. There will always be updates and changes but what we have now is very useful.
Informed Learning Blueprint Working Group
This Working Group has been formed to develop an instructional program for campus intro-level courses that is also applicable to international students, English language learners, and to U.S. learners from multi-cultural backgrounds. The Group members are Eric (Social Sciences Team), Tom (Professional Studies Team), Nikki (AHA Team), Karen (Academic Support Team), Mary D (Academic Support Team), Lorrie (Social Sciences Team), Ignacio (Sciences Team), myself and Hilary Hughes. As the UCD Fulbright Scholar in Residence, Hilary brings expertise in informed learning concepts and in working with international students. Interested in learning more? IDS Update
The Information Delivery Services group is finally together! This will facilitate the cross-training needed in the vital services for which they are responsible (Ask Us, ILL, Reserves, media, etc). While the IDS staffing situation was in a state of change for the last few months, the transfer of staff from other areas into IDS, the merger of the department, and the cross-training plans will result in a strong, well organized group able to meet the varied needs of our library users.

Open Lab Tutoring Pilot - The times and tutoring subject areas have become more stable. The location for this Pilot continues to be outside of the new Faculty Room.
Media Viewing Stations -- Two all-region dvd players/monitors have been added to the area. IT is looking at upgrading some of the computers on the first floor to play all region dvds as well.
Metro State Student Government Calculators Program Pilot -- Last time we looked, the calculators had been checked out about 16 times. No advertising of this Pilot has occurred yet.
Another Retirement :-(
Most of you have heard by now that Louise has announced her retirement effective at the end of January 2011...a huge loss for the Library, for the campus, and for the profession (and it really made me want to hop in an RV and head for Mexico). More news about her retirement party will be forthcoming.

September Update
Shared Leadership Team Membership
As a way of "sharing" and making for a more inclusive process in the Shared Leadership Team, we periodically have agreed to rotating new members onto the Team and giving previous members a break. Last academic year, ERI rotated Cindy Martinez onto the Library's Shared Leadership Team. This year, after serving the Library well for the last couple of years, Louise, Ellen M, and Lorrie will rotate off of SLT. Thanks to all 3 of you VERY MUCH for this service. That means that I will be looking for interested candidates to rotate onto SLT for this academic year (now through end of August 2011). SLT meets twice a month on the 1st and 3rd Thursdays from 9am-11am (sometimes adjourn earlier than 11am).
As a reminder the SLT charge: Aims to design inclusive processes for moving the organization forward. Members will work on achieving the goals of the strategic plan, oversee the budget, act on recommendations from library committees and set policy for the library.
Please contact me by Sept 16 if you are interested in serving or if you have questions.
MOVING COLLECTIONS
As you have probably "heard" PSI is moving the Periodicals. AHEC has changed many of our signs (such as the Periodicals signs), but not all. For example, we are still waiting for the SELF CHECK OUT signs.
NOTE: The Denver Post, New York Times, Wall Street Journal have been moved this afternoon. These "popular newspapers" that were in the cubby-type shelving in Periodicals are now on the first 2 sections at the beginning of the Current Periodicals. The newspaper rods have been moved to this area as well. The rest of the newspapers will continue to be in the Current Oversized section which will eventually be in the stationary shelving adjacent to the Compact Shelving in the new area.
Government Publications have been relocated to the 2nd floor, except for Gov Pubs microforms and cd roms which are in cabinets and will eventually all be outside of rm 118 (by north door). We will be moving some study tables into that area on 2nd floor since the Government Publications "footprint" was smaller than the Q-R collections...we gained a bit of space for quiet study.
IDS Update
Maybe there is a light at the end of the Reserves tunnel...
The last several weeks have been very busy for IDS as evidenced by these stats and by the very active Ask Us desk:
Reserves - Created and linked 310 reserve course pages. Scanned and/or linked a total of 1538 documents, 437 of which were newly scanned and created documents.
ILL - Processed 616 borrowing requests. Processed 514 lending requests.
Self-Check is working well for Metro and returning UCD students, and progress is being made on making it work for our entire student body...for CCD students and our new UCD students (the data load to add these new UCD students to our system is close at hand).
Subject Teams
Members of the Subject Teams have been hard at work in a number of areas, including heavy instruction requests, busy Research Help activity in all its formats, numerous faculty and student consultations, e-resources trials, recommendations/negotiations for a new set of EXCITING electronic resources for our collection, ...plus a suite of goals for this year and next focusing on collaborating with the campus faculty...are keeping us in high gear.
Work to turn the old CAR room into a Student Appointment/Consultation area is proceeding. We have purchased a combined copier, fax, printer, scanner to replace the separate machines that take up most of the space in the CAR room now and it will be delivered soon. IT (Doug) is working setting up 2 dual monitor stations in the room. Therefore, when students make appointments and need a longer consultation than can be effectively provided in IM or at the Research Help desk, we will be able to use this room for these student consultations (in addition to doing consultations in private offices etc). Of course, faculty consultations can be held in the new Faculty Room (door code 2323). Only campus faculty and library staff are allowed in the Faculty Room.

July 2010 Update
Moving Collections Project
The Moving Collections project has reached the end of Phase 1. That is, the Q – R books on the 2nd floor have been relocated to the northwest corner of the floor (in the former red-carrel area). Now, the classification sequence is Q – Z in that area. Hooray!
Phase 2 has begun which means that the government publications are being moved to 2nd floor, in the former Q – R area. In other words, the government publications will be located outside of Archives. Once gov pubs are moved, the current and bound journals will be moved into the former gov pubs area on 1st floor, next to the Computer Commons.
Thanks to all who have worked hard to make these moves possible - Special Projects, Shelving, Becky, Collection Development, Technical Services, and others). The result will be a vibrant collection surrounded by increased quiet study areas. Library maps are in the process of being updated.
When these phases of the Moving Collections project are complete, we will have a Party!
Subject Teams - Planning for Fall Goals
Members of the Subject Teams (Arts, Humanities & Architecture; Professional Studies; Socials Sciences; and Sciences) are updating individual professional plans and focusing on creating Team plans. We have also created a new Academic Support Team (to focus on non-disciplinary based campus collaborations). Meeting several newly defined goals will necessitate changes in Research Help and IM scheduling, in approach to the instruction strategic goals, and in how the Reference and Instruction departments are organized. To help us accomplish these goals, beginning August 1, the Reference and Instruction Librarians*, Bill Tietjen, and Tobey Stein will begin reporting directly to Cindy Hashert. The bibliographers*, Mary Dodge, Gayle Bradbeer, and Judith Valdez will continue to report directly to Cindy.
For more information on this topic, you are welcome to take a look at the intranet under the ERI/Subject Teams headings.
*see next entry for how these job titles are changing.
Librarian Title Changes
To more effectively communicate the scope of our jobs to the campus faculty and students, we have made a few changes in librarian job titles.
The Reference and Instruction Librarian title has changed to Research and Instruction Librarian. In some circumstances, the librarian will add their subject areas to their title.
The Bibliographer title has changed to Collection Development Librarian. If the Collection Development Librarian has a minor, that description may be added to their title. For example, Ellen Metter's title is Collection Development and Research Librarian. In some circumstances, the Collection Development Librarians will add their subject areas to their titles.

Collections Moving
As reported on May 18, collections in the Library are on the move!
Mohamed and the Shelving unit have been busy shifting the G's and H's to make room for a new student study area on the south side of the 2nd floor. The Shelving unit has completed a shift of the J-K's to make room for the repatriation of scores currently housed in PASCAL. This extra room will also allow us to stop using the very top and bottom shelves for the scores, thus making them easier to access for our student (not to mention, easier for us to shelve).
Shifting of the S-Z's has begun as well. After our contractor, PSI, moves some of the emptied H shelving to the front of the S's, they will begin moving the Q-R's in front of the S's...therefore, the "red" carrels will be displaced by the Q-R books.

Move of Collections
User Conduct Policy and Next Steps

Move of Collections
We have a number of Summer projects on tap, one of which involves the carrying capacity project and the Learning Commons. For many months folks in Government Publications, in Special Projects, in Collection Development, and in Technical Services have been involved in the carrying capacity projects. We have been analyzing collections, identifying materials duplicated by electronic resources, and looking for zero-use or little-used resources. The results of this process includes creating sharper in-house collections, sending little-used materials to PASCAL, and opening up learning spaces for both quiet and collaborative study and research on 1st and 2nd floors.
Becky and Cindy H met with AHEC and PSI today to discuss how PSI will help move some of our collections in July. We have written a phased plan for the moves and will use this to get a quote from PSI. Basically, as we have discussed in previous ERI meetings, we will move Gov Pubs to the 2nd floor in the Q-R area; move the Q-R's to the beginning of the S's; potentially move the current and bound journals to the former Gov Pubs area. We are attempting to do this while preserving quiet study on 2nd floor and creating additional collaborative spaces on the south side of the 1st floor. More information to follow.
User Conduct Policy and Next Steps
We reviewed the User Conduct Policy at an ERI Services meeting on May 18, 2010. The revised policy is on the intranet at http://intranet.auraria.edu/wiki/index.php/User_Conduct_Policy_Draft_May_18%2C_2010
The policy will next go to Shared Leadership and then will be reviewed by UCD legal counsel. There is an ERI commitment to enforcing the rules of the policy on a consistent basis and with the involvement of everyone in the Library. Further, there is a commitment to reporting problems by writing incident reports that needs to be a Library-wide commitment as well.
Next steps for vetting and enforcing our User Conduct Policy:
1. Need assurance that UCD legal counsel, the AHEC Police, and our Administration will back us up in the enforcement of these rules.
2. Need to have everyone in the Library participate in this enforcement.
3. Need to create "scripts"; that is, language that might be useful in speaking with violators.
4. Need to establish a system in which all of our Library employees feel safe in approaching people who are infringing on the rules. It is our belief, that after a period of concerted enforcement, some behaviors will be modified and infractions will become less frequent. Therefore, we want to
- Establish a "schedule" in which employees, accompanied by a security guard, will walk through the building looking for violations, inform the individual(s) when their conduct violates our policy, give them a copy of the policy, tell them they must cease the conduct or leave. Non-compliance on the part of the individual will result in the employee filling out an incident report and the security guard handling the removal of the individual. This enforcement activity will apply to all Library employees. For some period of time (2 months?), the security guard will need to work sufficient day-time hours to ensure that this is a Library-wide enforcement effort. After this time, the security guard's hours would be primarily nights and weekends.
and/or
- Establish a "schedule" in which a team of employees (2 people?) will walk through the building looking for violations, inform the individual(s) when their conduct violates our policy, give them a copy of the policy, tell them they must cease the conduct or leave. Non-compliance on the part of the individual will result in the employee calling the AHEC Police and filling out an incident report. This will apply to all Library employees (and Diane cannot be on every team :-)
5. Need to determine best means for advertising this policy and perhaps our intention to renew enforcement efforts:
1) We will remove the old policy and potentially replace with the highlights of this policy when approved.
2) Suggestion to make 4 big, poster size signs and put at the front door, by the back 2 stairwells, in the Shelving area on 2nd floor.
3) Suggestion to create a "static" digital sign at the front door. This could be a large size LCD screen that flips through 5 announcements: welcome message; user conduct policy; library map; hours; and desk services (or "what's new" or whatever). The LCD screen could be one side of a "kiosk", the other side of which is the Self Check machine.
4) Suggestion to pick "infraction spots", such as the restrooms and under the stairs, to mount the rules.
Stairwells
We are seeking a quote on the cost of "enclosing" the area under the stairwells.
IDS Staffing/Work Area
The plans for improving the Library have really gained traction. Creating the Ask Us, Tech Help, and Research Help, the painting, the signage, the Architecture class projects, Mary S's advocacy, etc. have caught the attention of the campus administrators and campus planners. Great news for our future building improvements. It does mean that the plans we had for the creation of the IDS Staffing/Work area will be delayed while the planning and the fund raising progresses. Therefore, the "circ" staff currently living in room 129 will be moving over to the IDS (old Reserves/Media area) without the benefit of the beautiful modular walls that we had picked out...we have to wait a while for that...but just think of those beautiful windows you will have!
Signage
We are still expecting the brushed aluminum signs and the plexiglass signs for the service areas on the 1st floor...Becky continues to work with AHEC on this.
We have removed the New Auraria Library poster/exhibit in the front of the Library and the Communications Committee, Amy, Mary D, and others are working on a replacement describing what will be new for Fall 2010.

Information on emergency Auraria Library access
In addition to Skyline (http://skyline.ucdenver.edu) which is housed inside the Library and to miscellaneous databases that are outside the Library it would also be useful for the rest of us to bookmark the following. (And to have direct links on the public PCs to these resources … if they aren’t already there.)
LibGuides** (http://guides.auraria.edu/) which is housed outside the Library.
Prospector* (http://prospector.coalliance.org/) which is at the Alliance and is housed outside of the Library.
Reserves* (http://auraria.docutek.com/) which is also housed outside of the Library.
Library FYI (http://aurarialibraryfyi.blogspot.com/) which is on Blogspot from Google and therefore is housed outside of the Library.
Interlibrary Loan (https://cudenver.illiad.oclc.org/illiad/logon.html) which is OCLC/ILLiad and is housed outside of the Library.
WorldCat Local at Auraria* (http://aurarialibrary.worldcat.org/advancedsearch/) which is also on OCLC and is housed outside of the Library.
*Reserves, Prospector and WorldCat Local at Auraria rely directly on holdings or checkin/checkout data found in Skyline so if Skyline is not operational then they will work but may not be accurate. In addition Prospector does not include all of the Auraria Library holdings that are listed in Skyline and WorldCat Local.
**LibGuides links to the databases are proxied. The proxy access relies on Skyline so if Skyline is not operational then the links won’t work. If sufficient time lapses and on campus internet access is still available it would be possible to remove the proxy universally. Then database access would be possible from on campus computers.

ERI UPDATE - JANUARY 14, 2010
Flash -- Reserves/Media Desk closes.
ERI Update January 14, 2010
1.The Ask Us desk will open for business on Friday, January 15. The Reserves/Media desk closed at 5pm Thursday, January 14. The Reserves/Media services will be handled out of the Ask Us desk starting tomorrow.
The Tech Help desk and Research Help service area will open for business on Monday, January 18.
Temporary signs for these changes and moves are on the black exhibit panels and are in place, ready to turn to face the public as soon as we are all ready. The signage company is working on our quote/design for the permanent signs…it should be very exciting. Thanks to Eric, Amy, Mary D, Farhad and Jerry for preparing and hanging these temp signs.
2.Nearly all of the materials have been moved from Reserves/Media to the Ask Us desk. Circ staff will remain in rm 129 until their new offices are created in the Information Delivery Services (IDS) staff and processing area (which is the area vacated by the media shelving). Thanks to the IDS staff for making sure the move went smoothly.
3.The WorldCat Local Implementation team chaired by Gayle and the Web Team took the feedback from our students, faculty, and library employees and created a much improved, updated home page. See the emails that Gayle and Nina sent out earlier today for more information. These changes are now available at http://library.auraria.edu. Wow! This is a great, cooperative outcome that will benefit our customers tremendously.
4.The 2 color scanners have been moved to the corner of the North courtyard area. The microform scanner will be coming soon and the computer for that scanner has already been moved to this area as well…to this new scanner bank.
5.Doug and others are working on moving the Tech Help, Research Help, and Ask Us desk computers today and Friday. They have also relocated the printers and venda-card machine that were formerly in the back of the Computer Commons to the front, making problem resolution by the Tech Help students easier to handle.
6.The purchase of the self-check machines (and RFID) has been quite a process. Since pursuing a sole-source purchase did not work out, the purchase has been submitted to a bid process. If everything works out well, we may have the 2 self-check machines by the end of Feb. Many thanks to Rick B and Denise for tenaciously following through (and using every negotiating tactic in the book) with this complicated, important initiative.
7.Updated print and web versions of the 1st and 2nd floors are available. Thanks to Nina for helping to create and load the map which you may view at
http://library.auraria.edu/info/maps/firstfloor.html.
Mary D is copying the print version of the map which you may also see in this attachment. Thanks to Denise and Nina for creating this print version.
8.A number of new resources have been added recently including Opposing Viewpoints and the full-text of U.S. Congressional hearings (see emails from Collection Development).
9. Several marketing/informational collaterals became available this week that will help us in our work and in communicating with the students and faculty.
SPRING BOOKMARKS –
New Auraria Library bookmarks are in and available for use. If you need some for presentations, communications, etc, these are at the Ask Us desk.
Many thanks to all who participated in revamping the bookmark, especially to Amy.
REVAMPED FLYERS/BROCHURES – See email from the Communications Committee, sent out by Denise. These new pieces include flyers for:
Faculty Overview
Faculty Research Help
Faculty Research Services
The New Auraria Library (color and b&w versions)
Student Services
UPDATED Campus Computer Labs and Textbook Commercial Sources Handouts from Bill.
Pursuing our Strategic Plan goal of establishing a public service model that combines services in a helpful way for students and faculty, recognizes organizational efficiencies and copes with staffing decreases and changes, continues to emphasize research help through f2f/email/IM/phone, and begins to create a learning commons environment that includes a focus on tech help -- has taken the energy, creativity and good-will of everyone of us. I thanked a few individuals in this email, but it truly took all of us in lots of different ways to achieve these fabulous accomplishments.
Let’s party…join your colleagues for an ERI pizza lunch tomorrow from 11:30am-12:30pm in the ELC.
THANK YOU ALL,

ERI UPDATES FROM DEC 21 - JAN 6.
These all appeared in email as well, but in case you would like to comment on the blog and in order to "keep" a record, these updates appear on the blog as well.
ERI Update - Jan 6
Brief update:
1.Printers in computer commons area have been moved to the front of the Commons area and should be functioning by tomorrow. The venda-card machine will be moved to that area also as soon as AHEC can move it (it is bolted to the table). As noted earlier, these moves will make it easier for the Tech Help students to help with the printing and venda-card issues on that end of the room. Thanks Doug!
2.Doug will install a dual monitor swing arm computer set-up at the Reference Desk today. Thanks again Doug!
3.Signage choices have been made for the 3 service areas. We are choosing to continue the jewel-tone pallet of the garnet red wall and hanging signs. That garnet red will extend to the RESEARCH HELP wall and column. The sapphire blue color in the carpet, above the ELC, and of the “bathroom” wall will be used at the ASK US desk. An emerald-type green will be used for the column and signage at the TECH HELP desk. The words on the signs will be brushed aluminum…as described in Open Forum today.
Many thanks to the Facilities Task Force and many others who have helped with the signage aspect of the renovations. I think that is it for now.

ERI Update Jan. 4
Just a brief update for our first day back from break:
1. On Jan 5, the public PCs will be relocated to the column just south of the current Ref Desk (soon to be the new Tech Help desk). This means that these computers will not be available tomorrow morning. Doug will put out signs on these computers noting this change.
The move of the public PCs will clear the way for the creation of the Research Help service area.
2.AHEC is on schedule for this week’s activities in the Ask Us desk area including the patching/painting of walls, lights installation (lights have been delivered), and carpet patching. Therefore, the Reserves and media collections move should start Jan 11 if not sooner.
3.This means that the new service areas, Ask Us, Research Help, and Tech Help will be operational by the start of classes. Two caveats, we likely will not have self-check machines by Jan 19 (but as soon as possible thereafter) and we may begin that week with temporary signage for the service areas.
ERI Update Dec 24 - treats 11:30 today
Last ERI Update for 2009!
I will put this on the ERI News blog as well so that we have a record of the comments if we need to refer to them in the future; however, I wanted to send this as an email as well…to alert you to the treats in the Ref office area from 11:30am-1pm.
Cindy H, the Grinch…
One thing that I consistently see in the feedback from students is that they value the Library for the quiet space that we provide on the 2nd floor. I hear this in discussions with the faculty as well. When I presented The New Auraria Library concept to the UCD Associate Dean’s, I received very positive feedback including the fact that we are remaining true to providing the quiet spaces for study and reflection.
Therefore, I will risk being Grinch on this Dec 24 by suggesting that we not play music on the PA system. I am going to put out some treats, including raspberry sherbet punch, in the Ref office area at 11:30am.
Renovations
• Thanks to everyone of you for making 2009 such a productive year. In the first few months of this year, we had several task groups totaling over 30 people working on a new public service model. Adding these meetings, appreciative inquiry sessions, and ERI discussions to an already busy year made it seem as if we were constantly running to keep up with our jobs and all the changes. We have continued to tweak that public service model and made changes to our organization throughout the year. Now, we are pursuing the changes to the public desks.
• When we return in January, the wall between rm 109B and Circulation should be demolished. AHEC is working over the break and they may begin installing the necessary lighting in this area as well.
• After this area behind the Ask Us desk is painted, carpeting patched, and lighting installed, PSI will begin moving the shelving, cabinets, and collections over from the Reserves/ILL/Media area (this will become the staff area for the merged Information Delivery Services).
• The timing for moving the Circ staff from their temporary home in rm 129 and joining the rest of the IDS staff has not been confirmed yet. AHEC is still working on the plan and quote for creating the office “walls” and getting the necessary electricity in that department. We should hear back from them soon.
• Both the new Tech Help desk and the Ask Us desk will have swing-arm dual monitors. Rather than drilling additional holes through the granite counters tops, Doug has investigated and believes that the existing holes through which the computer wires come up through the desks can serve a dual purpose. The mounting pole for the swing-arm monitors will fit in that same hole. Good news since we won’t have to drill in the granite again (except for the redesigned ADA station at the Ask Us desk).
• Tech Help desk – we had talked about making the Tech Help desk “look different” from the current Reference desk. One idea was to take away the Ref desk entirely and use the wheeled desks in that spot. Other ideas included shortening or reconfiguring the existing modules of the Ref Desk; purchasing a new desk; putting the Tech Help service at the Ask Us desk and not having a separate Tech Help desk, etc. We will send out a separate update on the Tech Help desk and the Learning Commons “sandbox” area at the beginning of the new year.
Also, here are well-deserved thank-you’s from Nicole and me to the Circ staff:
Subject: RE: The Move
And many thanks to all of you for making this transition smooth and working with the AHEC and PSI staff.
PSI will finish moving the blue walls and haul off the short panel walls today. The demo of the rm 109b wall will start Monday if not sooner.
Woo Hoo! After a year of planning, it is great to see the changes happening with your help and initiative.

Cindy,
I just wanted to let you know how amazing the Circ staff was for our move. Thanks to Greg for helping rearrange the furniture and for taking down and setting up the department computer. Thank you to Azim for organizing and cleaning and furniture rearranging. Thank you to Supak for guarding the Circ desk all afternoon so others could help the movers and set up their areas. Thanks to Patricia for covering the desk all morning and helping with odds and ends at the desk. Circ pulled together and got the job done.

ERI Update Dec 21
Just a brief update:
1.Likely that PSI will be here on Wednesday to start moving the Circulation staff to temporary quarters in rm 129.
2.Electrical outlets to be installed on the column north of the current Ref Desk (to accommodate the move of the Public PCs) over the week of Dec. 28. Therefore, we will be able to move those Public PCs when we return the week of Jan 4.
3.Earlier, I told you that I had a sample of the brushed aluminum letters for the ASK US, RESEARCH HELP, and TECH HELP signs (which you can also see in the ELC sign). I also now have one sample of the plexiglass that we might decide to use for the desk services signs*. I only have “tile red” sample now for you to look at, but should get a sample of blue and green soon.
Cindy H
*desk services sign =
TECH HELP (same listing that appears on The New Auraria Library exhibit) such as:
Printing
Scanning
Computer software and hardware
Microform machines
ASK US (same listing that appears on The New Auraria Library exhibit) such as:
Information
Check-out
Reserves
Media

Off campus user question
Two things to watch for when you are helping patrons.
First the daunting security (SSL) warning that sometimes appears when people click on a database to log in may become more prevalent as the databases upgrade their security. Patrons may safely click through this to get to our resources but it's pretty scary at first. We are able to fix it by obtaining and installing a security certificate and have done so for the first four offenders. However this correction process can take up to two months! Please report (bugzilla or to library.eresources@auraria.edu) this problem immediately when you see it so we can start to fix it quickly!
Second the libraries link from the UCD website can be confusing so we have had a few people who have privileges at the Health Science Library resources try to log in to the Auraria Library databases. This may not be apparent at first but just realizing it is a possibility will help you successfully answer their concerns.

Guide to internet searching
A recent exchange on the AskAcademic list pointed to this new guide for laypeople on searching the web. There is now a copy on the shared drive.

2010 tech trends
If you like Brian's tech tools to watch at CU Onlines's spring symposium this is another.

Did you know there was a site you could hum a tune into and it would locate the music?

ERI/Learning Commons Update Dec. 11th
SIGNAGE
The Facilities Task Force (or a few of us at least) met with AHEC and a sign specialist today. You may notice some paper “samples” of ASK US and TECH HELP signs taped to the columns by the current Ref and Circ Desks. Next Tuesday, the sign specialist, Fred, will also bring a printout of the Research Help sign to include an example of what the sign might be if on the “clock” wall or on one of the columns next to Research Help.
This might change, but currently, the sign design discussion is:
1. for the Ask Us Desk – corner column at the desk will be painted (color likely to be determined by AHEC). Running vertically down the column will be the words ASK US at strategic intervals around the column. The words will be raised, brushed aluminum letters of approximately 7-8 inches.
There is a small (4 inches) example of one of these letters taped to my office door if you wish to look at it. Also, the Jackson Enhanced Learning Center sign is an example of raised, brushed aluminum letters.
2. for the Tech Help Desk -- corner column at the current Ref desk will be painted (color likely to be determined by AHEC). Running vertically down the column will be the words TECH HELP at strategic intervals around the column. The words will be raised, brushed aluminum letters of approximately 7-8 inches.
3. for Research Help – one of the columns adjacent to the area will be painted (color likely to be determined by AHEC). Running vertically down the column will be the words RESEACH HELP at strategic intervals around the column. The words will be raised, brushed aluminum letters of approximately 7-8 inches.
And/or, the wall behind the Research Help tables will have a horizontal sign. Likely will paint that wall.
We are also working with Fred on how the specific services will be identified at the desks. For example, at the Ask Us desk, how to represent that it is Information; Checkout; Reserves; ILL; Media. We are also working on signage for the Self Check machines.
TRAINING
As Diane reported on RefL, the training for Ask Us is going brilliantly. I was part of that training and heartily agree with Diane’s assessment. You guys are doing GREAT!!!
We all hate to see Meghan go, but Judith is continuing to analyze the workflow, workload, and delivery of product in Information Delivery Services and to determine how best to proceed.
MOVING
Phase I of the Ask Us desk will be the move of the Circ staff to temporary quarters in room 129. They will soon begin to box up their belongings in preparation for PSI moving them.
After the staff move out, the area behind the Circ desk will be prepared to become the Ask Us desk; that is, the rm 109B wall will be opened up; lighting will be improved; flooring will be patched; etc. Then, the move of media and reserves collections/shelving to the Ask Us desk can go forward. Once the collections/shelving are moved out of the Media/Reserves space, that space will be prepared to move Circ staff in…thus bringing together many of the Information Delivery Services staff and processing areas.
The “dominos” are falling into place quite nicely with the help and good humor of everyone involved (even though Azim gave me a heart attack when he jumped up on the desks to tape the sample signs to the columns)…not that we aren’t prepared for delays and surprises which are always part of these types of moves, but overall, we are making terrific progress. THANKS EVERYONE!
THE NEW AURARIA LIBRARY Marketing/Information Campaign
1. The exhibit on the black panels will go up early next week and will be placed in the central lobby area (sent out text that that exhibit earlier).
2. The PDF and printed versions of the brochure are available and if you need either contact Cindy H.

Marketing innovations
http://toc.oreilly.com/2009/10/video-seth-godin-on-new-media.html
Really interesting and with a little twist applies to how we get people talking about the library and it’s services ... and why information commons work. The new spaces/commons are already doing some of this. Classes have always done this. The science behind the news did this.
From his powerpoint:
Books are souvenirs - of ideas
Permission - to share ideas with people - is the only - key - asset
Conversations are marketing – Facebook- blogs
Words for readers not readers for words – publishers should focus on getting words for an existing market not trying to build a new market from scratch
Blogs work - if there is passion there
It’s not about selling books - his allusion is that Disneyland makes a lot of money selling souvenirs but was not built to sell tshirts
“You can’t afford to push a book on people who don’t already know it exists.”
I found this video from a comment on the following post from inside higher ed about ebooks:http://www.insidehighered.com/blogs/technology_and_learning/clueless_publishers
